Step 1: The system finds tenants whose contracts are ending soon

Instead of manually checking spreadsheets, the intelligent data pipeline queries the property management system in real time and identifies tenants with contracts ending within a defined window. It surfaces only the required data: tenant name, unit number, property address, lease end date, WG members, and relevant contract details. For landlords, this means fewer missed follow-ups and better visibility on upcoming availability.

Step 2: The system creates a personalised tenant email

The automation pipeline injects each tenant's real data into a branded mHomes template, delivering personalisation at scale — real name, real unit, real address, real lease end date. The pipeline runs entirely within the mHomes infrastructure. No tenant data is passed to any external AI service at runtime — a deliberate architectural choice that ensures full GDPR compliance.

Step 3: Emails are sent from the official mHomes Outlook account

Emails are delivered through Microsoft Graph API (OAuth2) from the official mHomes Outlook account — not a third-party service. This means tenants receive messages from a trusted, branded sender with correct reply-to settings.

Step 4: Tenants choose between Extend Stay and Move Out

Every email gives the tenant two clear options:

  • Extend Stay → directs to a Microsoft Form. Responses sync live to a shared OneDrive sheet and feed into an Extension Requests Tracker automatically.
  • Move Out → triggers a pre-filled reply flow. A smart inbox routing engine checks the inbox every 10 minutes, uses AI-parsed response detection to sort incoming replies, routes them to the right colleague (NP, JH, JK, JM, CKF), and logs all actions.
